Cancellation and refund policy

This is the tailored draft for the limited trial. It requires legal and commercial approval before live charging is enabled.

Trial and subscription cancellation

The 30-day introductory trial can be left without payment. Once paid access is launched, a billing owner will be able to cancel through the Stripe-hosted billing portal. Unless a statutory right or the checkout terms require otherwise, cancellation takes effect at the end of the current paid period and access remains active until then. No further renewal should be taken after an effective cancellation.

Failed payments

A failed renewal receives a seven-day grace period with warning messages. If payment is not recovered, active features become read-only. Members can still sign in, review calculations and export customer data.

Refund requests

Contact account@codemagician.co.uk with the organisation, payment date and reason. CodeMagician Ltd will consider duplicate charges, service faults, mistaken purchases, statutory rights and other fair circumstances. A refund is not automatic merely because allocated service or AI credits were not used. Any mandatory consumer or business rights take priority over this draft.

AI-credit top-ups

A full refund of a wholly unused top-up can reverse the corresponding unused credits automatically. A partial, disputed, reserved or used top-up is stopped for manual review so the credit ledger and payment record remain consistent. A refund never deletes or changes engineering records.

How refunds are returned

Approved payment refunds are returned through Stripe to the original payment method where possible. Bank and card processing times are outside CodeMagician Ltd's direct control. A durable confirmation is sent to the organisation's billing contacts.
